Overview

The User Management section allows administrators to manage user accounts, update usernames, reset passwords, and link unlinked users to existing roster records. Regularly reviewing this section ensures members can access the system, validate their data, pay dues, submit surveys, and more.


How to Access

  1. Navigate to SupportUser Management.

1. Updating a Username & Resetting Passwords

  1. In the filter fields, select the member’s name.

    On the right-hand side, select the appropriate member to expand, enter a new username (email) for the member.

    If the member is having login issues, you can also reset their password:

    • Click Reset Password to generate a temporary password.
    • Provide the temporary password to the member so they can log in and create a new password.
  2. Turn off Two Factor Authentication

⚠️ Important:

  • If the new username email already exists under the member’s Primary or Secondary email fields, a notification will appear:

    “The email address is already being used. Please contact support.”

  • In this case, contact support to resolve the conflict before proceeding.

2. Managing Unlinked Users

  • Definition: Unlinked users are individuals who have registered using the “New User? Sign Up” feature on the login page but could not be matched to an existing roster record.
  • Use this page to manually link a registered user to their corresponding roster record.

  • Unlinked users represent people who actively want access to your system.
  • Linking them promptly allows them to:
    • Log in and validate their data
    • Pay dues and contributions
    • Submit surveys and forms
    • Fully engage with system features

Why

People forget their passwords all the time. Sometimes names or emails—and thus usernames—need to be changed for valid reasons. Help them all out—and do it with a smile on your face.


Best Practices

  • Review the Unlinked Users list frequently to minimize pending accounts.
  • Always check for email conflicts before updating usernames.
  • Promptly link unlinked users to improve system engagement.
  • Reset passwords responsibly and securely; ensure the member sets a new password immediately.
