Whether it’s a grievance or a disciplinary case, timeliness matters. Use the Cases feature to track each case, its claimants, and important timelines so nothing falls through the cracks. Communicate with the appropriate parties as the case progresses and the final outcome approaches.
Who
All members who fall under the contract(s) associated with the case are available to be named as claimants.
When
Timelines are critical. The next step could be due in 2 days or 2 weeks — and that difference matters. Stay organized, monitor deadlines, and ensure every action is completed on time.
Navigate to:
Membership >> Cases
- Click the + (Add) icon in the top-right corner to create a new case.
- Complete all required fields (indicated by red asterisks).
- Assign the appropriate case type (e.g., Grievance, Discipline).
- Add any claimants by selecting from the list of eligible members under the associated contract.
- Enter key dates and deadlines to ensure timely follow-up.
- Use the Notes or Attachments sections to include supporting documentation or communication records.
- Click Save when complete.
Once a case is saved, you can return at any time to:
- Update case details
- Add or remove claimants
- Record progress or outcomes
- Send communications to involved parties
Best Practices
- Stay proactive: Regularly review open cases to ensure no deadlines are missed.
- Keep detailed records: Use the Notes section to summarize key discussions or updates.
- Attach supporting documents: Upload grievance forms, disciplinary letters, or correspondence for easy reference.
- Communicate clearly: Use Engage’s communication tools to notify relevant stakeholders as milestones or decisions approach.
- Close cases properly: Once resolved, update the case status and outcome for accurate record keeping.
